WHAT YOU’LL DO
We are looking for a highly organized, positive, and professional individual to fill the role of Event Production Assistant. This position supports WEBB producers in the pre-planning and production of client projects, helping keep event details organized and moving forward.
You will be involved in client meetings, planning meetings, onsite events, budgeting, administrative tasks, and production logistics to help make each event a complete success. This role has growth potential to develop into other positions within WEBB.

- Flexibility: No show is exactly the same, so flexibility in your role is essential.
- Sense of ownership: You own the details and can be relied on to get things done with minimal follow-up.
- Organization: You can stay on top of calendars, travel, budgets, purchase orders, internal systems, and many moving details.
- Tech-savvy mindset: You are comfortable with basic office tools such as Word, Excel, and Google Drive, and you are willing to learn internal inventory systems and audio visual terminology.
- Passion for events: You enjoy creating top-notch, attendee-inspiring events and working with a team that shares that passion.
Key responsibilities
You are the secret weapon that helps our Producers bring events together smoothly.
Every event starts with the client. Our Producers work directly with clients to understand event goals and make sure we deliver to those goals and budgets. You will work beside the Producer throughout the process and on show site, helping ensure details are captured, organized, and followed up on.
Each show and project varies, but your responsibilities will typically include:
- Event accounts payable: Create purchase orders and expense reports, support budget tracking, and help manage vendor contracts and show expenses.
- Client coordination: Attend client meetings, assist with client interactions as needed, send follow-up communications, and track meeting notes, tasks, and action items.
- Event pre-production: Attend internal meetings, input details into internal systems, manage crew logistics, support travel planning, and help coordinate onsite team needs.
- Onsite event production: Provide onsite production support and logistics in Utah and outside the state, including errands, crew meals, tracking missing items, assisting with setup, and troubleshooting last-minute changes.
- Vendor interface: Work with subcontractors and suppliers as needed to support the event.
